We're 5 days away from the official Help-Portrait day. To-date, over 7000 of you have signed up to participate at over 600 locations in 58 countries; and these are just the people we know about. How fun is this. All we can say is, wow!

As you prepare for the weekend ahead, we are needing your help with a few official housekeeping items:

First, after your event is completed, please take a moment to fill out the post-event form. We are wanting to track the following stats in order to provide a comprehensive overview of what really happened:

  • City, State, Country
  • Number of portraits given - this is defined by the number of people who had their picture taken either as individuals or in a group
  • Number of photographers
  • Number of volunteers (event, hair, makeup, assistants, etc)

It's very important that we get this information so please be diligent to keep count during your event.

Secondly, we would like every location to send us a group shot of the photographers and volunteers with someone holding a landscape 8.5x11 paper with your city, state and country written on it. Please send your hi-res image to picture@help-portrait.com.

Third, if you are handing out digital files to your participants, please take a moment and download our copyright release form. This will ensure that they can reproduce at any retail establishment without a problem.

Finally, we just received our last shipment of H-P apparel in for the 2009 event. If you've been waiting to order your 2009 H-P memento, place your order today! Quantities are limited. Please note: Unless you live in or near Nashville, TN, you won't be able to receive your shipment before Saturday.

Please remember that Help-Portrait is about giving, not taking. No model release forms should be given out during this event. For one day, we are asking you to give up your rights for the benefit of others.

Thanks for answering the model release question Kyle, we had the same question come up. I am concerned about the video release though. If Help Portrait ever plans on doing anything with these videos, there should be releases allowing the organization to use the images/video in the videos. Sorry, video is my thing, and regardless of whether I am doing something for a class or for a film festival, releases are kinda standard. I would feel more comfortable with doing a video if we had a standard release form signed for those being interviewed, and have a general notice regarding the video/candid shots going on that is more "b"roll type of taping. I'll go with whatever ya'll say, but it's more of a "CYA" kind of thing for me, not about taking or anything like that. Just wanna cover our bases.

@Jessica - I would put a sign up when people walk in letting them know that you'll be capturing behind the scenes pictures and video, and if they'd like to not be included to let someone know. I think this will be the easiest way without having to have model releases done.

quick ? about model release forms... we are creating a video of the event and were thinking we needed to have model release forms for that as well as any "behind the scenes" photos we take during the event. we are in no way going to use the video or images for our own gain. can you help me understand how to proceed? thx - jessica
