This thread is to start planning volunteer photo sessions in Hong Kong for the 2011 Help-Portrait event on 10th December 2011...

Since we are two weeks from the event, I would like to summarize the general consensus and pen down most of the moving parts...
Here's the deal:
Date Time and Location - First shoot starts at 10am (already confirmed with makeup and NAAC)
Meeting time / point - 9:30 at NAAC or Tung Chung Station (Adam, let's take it offline for your travelling plan)
Lunch - 12:00 (arrange by NAAC)
Families - Will lower to 30 with NAAC, was a little too ambitious earlier
Volunteers - 7 total (6 from my side plus Adam's girlfriend), if you have friends or family that would like to join, please feel free to add them to the list
Two stations - in parallel , 20-30min per family, (tentatively)
Station 1 - Adam / George / a friend of mine (Studio strobes provided by Houston)
Station 2 - Wailly and 1-2 volunteers as support (Gears provided by Wailly)
(Background stand and white seamless by Houston)
Space - For the morning session we will be using three mid size rooms (we will then move to a larger room for the afternoon session, this room will comfortably fit the two stations)
Passport pics - I will need to see if NAAC has already promised that to the families, if so, I will either apologize to them or I will do the passport portion myself
Retouch - Retouching will not be done on the spot (All retouched jpg just need to circulate back to me within 7 days, except for Adam)
Deliverable / Prints - Printing will be done at the store (better quality). Prints will be packed together with some little stationary for the children (All cost sponsored)
I hope we can focus a bit more on props and administrative things such as posters, signage and check-in forms ...

I may bring in another 1 or 2 persons to help out on the day. (Hopefully can find someone good with kids, hmm...) Will also arrange lighting gears. You have my side of the backdrop covered, right? ;)
Do we really need posters, signage, check-in forms? If so, we need to line things up for printing.

There is somebody taking care of the posters and the form right now. That's side should be fine.
Please let me know if you have any difficulty in gears or helper and what not. We are really relying on you since you are taking up a whole station.
Also, what is your thought on the style and number of photos to be provided to the families? These families are not exactly the so-called sophisticated type that walk into Venture ... So their expectation may be a bit different. I mean something simple, around 5-10 delivered pics, shall be good.... Would that be something you have in mind as well?

30 families, means few people per family.
I think each family member got 1 or 2 portrait plus group photos.
So who will be the Lightroom master ? As I understand all the photos will be in RAW format.

We have 28 families more 50 children of age ranging from 1 to 19 (don't worry only one kid that is 19)
