For those of you that have items that I have has been holding since December's HP Austin event and have not been picked up as promised, the items will be donated to Goodwill on April 7. This is being done due to 2 cats that are going to be moving in. While they are housebroken, they have been known to mark territory. I will not be responsible for damage done by the cats. If you want your equipment back, email me at manny.jimenez@gmail.com to setup a time and place.

Ok folks, even though we just got done with the event for 2011 the date for 2012 is set. Mark your calendars for December 8, 2012.

I need the following information as it pertains to you by Tuesday 6pm please:

- Name
- Number of photographs (of the families, behind-the-scenes, etc.) you took.
- Number of volunteers (photographers, hair/mua, general admin, runners, etc.)
- What's the most impactful story or stories from your event?
- What's the most meaningful thing someone said to you at your event?
- What did you take away from this event?

Help Portrait Austin meeting notes for Dec. 1 & 6

  • All volunteers must sign in and sign a release form before doing anything. The forms will be available at the building entrance.

  • Chuck procured CDs for images to be burned on and given to the families.

  • 1 hair/makeup artist is confirmed with several more to be determined. Aveda beauty school, Paul Mitchell cosmetology academy, and a beauty school in Pflugerville have been approached. We are awaiting a response from them. If you have friends that can do hair and makeup, please contact them. We are going for basic touchups, not full makeovers.

  • Clipboards will be provided to the runners and will stay with each family's process (welcoming, MUA, photo session, editing/printing, etc.).

  • Photographers will be assigned a number that will stay with them throughout the day.

  • Editors can download the HP borders logo from the Help Portrait site so that we may submit images to the HP site with HP Austin logo.

  • We are still awaiting word from Canon on printer/ink status. Chuck will provide his printer as a backup but we may also have to hold off on printing at the moment and print them off site to give the families the prints at a later date.

  • All camera cards must be labeled.

  • Posing will be at the discretion of the photographer. If you need help or ideas, please don't hesitate to ask.

  • Props such as toys and teddy bears are encouraged. Chairs for posing are also recommended as the venue has plastic chairs, not ideal for portraits.

  • Mark C. has 1 confirmed videographer to document the event. Footage will be made to promote future HP Austin events and submit to the HP organization.

  • If you are bringing lights or computer gear, bring an extension cord and /or surge protector.

  • Natural light is available along with selective overhead lights to be turned off.

  • Editors will be recommended to use Lightroom or Photoshop. Edits will be basic touch ups so as to get the families wait time to a minimum.

  • If your camera has RAW capabilities, please use it. There will be numerous experts to assist you in getting your camera to the optimized settings for portrait photography.

  • Ladder will be available to shoot from above.

  • Dolly will be available to move gear as needed.

  • The facility has hardwood tile floors which we know is an item of concern for those that are bringing seamless paper.

  • If someone can stop by a Dollar General and grab some table cloths for tables that will have food along with arts/crafts which will make cleanup easier in the end.

  • A PA system is available which will be used for music.

  • We will have access to the kitchen. We have not gotten word back yet on food/meal donations so we suggest bringing your own snacks/meal and drinks just in case.

  • Coffee makers are available and bring your own drinking vessel please.

  • Green room for volunteers will be available.

  • A contact with the Statesman “Religion” section is being invited to cover the event.

  • Santa hats are encouraged to be worn.

  • Frame cleaning party is still happening, see details on HP Austin community website along with the HP Austin FB page under events.

  • Don't forget to recharge and/or get new batteries for your camera, wireless transmitters, and such.

You can find mor einformation there, as well as links to other information pertaining to this year's event. Please, if nothing else, join the facebook page and let us know if you are going to attend and where you can help. We need to get everything coordinated for the days event, and final numbers of volunteer counts will help a lot!

November 8, 2011 Help Portrait Austin meeting

 

  • Doors to the building will be open at 6.30.

  • Chuck is talking with Park Street at Precision on our request with Canon for the use of a printer and inks along with paper.

  • Awaiting word on request for donations for blank recordable CDs and cases to burn images onto for the families. Photo release form will be accompanying the CD for full use as the family wishes.

  • Requesting a point of contact at a location that will be able to print out model releases, signs, and posters of various sizes.

  • Requesting a point of contact at local beauty schools that will be willing to inform their students of volunteer time to work on people. Currently Regina has some avenues of contacts at 2 venues. If we can find some more schools to ask so that we can speed up the process of prepping the families for their shoot.

  • Requesting more people that are willing to do general volunteering such as meet/greet, runners, and translators. If you know someone that is willing to help, please tell them that we can use their assistance.

  • Editing stations will be dedicated to editing and printing. Images to be put onto CD will be put onto a thumbdrive from edit stations and go to a dedicated machine for burn use only.

  • File naming should be simple and consistent throughout the day and all parties involved (photographer and editor) are clear on this so that the process is streamlined.

  • Contact with ARC will be made about two weeks before the event. Person to be the point of contact has not been established. Who wants to volunteer? Email manny.jimenez@gmail.com so that we can update the roster.

  • Tiffany and Carl have charity organization contacts, contacting these two people so that we can establish communication and get families lined up to be photographed.

  • Volunteers are being sought so that kids can be involved in decorating photos taken such as in recent videos posted on the Help Portrait website.

  • Frames for photos have been donated via Liz Hack and in the process of being transported from their current location to Manny's home to be cleaned prior to the event. There will be a frame cleaning party with a day and time to be determined.

  • A link to a volunteer recruitment questionnaire has been established and request everyone fill this out soon.  http://helpportraitaustin2011.wufoo.com/forms/helpportrait-2011-vol...

  • Manny is contacting the Austin Community College Videography department to seek volunteers to gather footage of the event and the end result be posted online on YouTube, HP Austin, and HP websites.

  • Cleanliness, setup, and teardown has been taken care of by Chuck who ensured to the curators at the church that we will make it happen.

  • Anyone bringing lights, computer gear, and printers are requested to bring an extension cord and a power strip.

  • Play room/nursery is available and Regina is looking into contacting several people to assist in volunteer daycare services. Volunteers are being sought to help kids interaction with the photograph decorating part of the process.

  • Whitney is going to do outreach to her neighbors who are candidates to be photographed.

  • Senior and assisted living centers are being sought out to get residents to be photographed.

  • Help Portrait Austin 2012 will be organized much earlier in the year to get more involvement and better chances of getting more locations.

  • Media contacts with KEYE and 101.5 are known to have established contacts. The time to get on the air/airwaves will be done a few days prior to the event.

  • The morning of the event, we will need assistance transporting picture frames from Manny's place to the church. Pickup truck will be greatly appreciated.

  • Food donations from various establishments are being pursued. Chuck is going to Chick-Fil-A while Manny is trying his contacts with Starbucks for coffee and Jimmy John's for sandwich party platters.

Daniel, thank you for your interest to help out.  We are currently trying to set up a time and location for our next meeting.  Keep checking this site for the latest information and also on Facebook where we have a page in which we hold most of our ideas sharing and discussions.
