3 DAYS until Denver Help Portrait.... We have Santa and we are gearing up.  If you haven't started packing your gear... get to it. Get those batteries charged and plan to meet on Saturday Morning.  If you are not assigned on any particular list, NO WORRIES... We have things for you to do... Come, Participate and Enjoy the Day when Denver Gives Back!

Tim, Chelsea, Mike - Plug me in doing whatever (photo, edit, assist and, yes, I can do make-up if the make-up is there, people wrangling, etc.) whenever you need the help. While I'd love to shoot, it's clear you need help in other areas so I'm happy to pitch in. When do you want me to come?

For all of those that will be editing for the day, here is a flow of how I see the process will flow.

Pre Editing

  • Guests will be assigned a ticket.
  • Photographers should be taking images in RAW format.
  • Each photographer should clearly label their own memory cards.
  • The photographer’s first picture for each guest session must be of the guest holding the ticket up close to their face.
  • Once the photo session is complete, the photographers should select only a few of the favorite photos they want the editors to pick from.
  • Pending on the volume, photographers should send the memory cards back with running to the editing every 1-2 sessions.

Editing

  • Each editor will work with the same photographer throughout the day.
  • I envision that there will be 3-4 editors during each time slots and Mike Carrizales will be be in charge of uploading the print files to samsclub.com.
  • Editors will connect to a shared drive or if this fails there will be an external hard drive & thumb drives to move the images around as needed to a central location.
  • Editors will import the images onto their own computer.
  • Editors will double-check that the files imported correctly and then must format the memory card before handing it back to a runner to be returned.
  • Editors will then select a single (or group of images when applicable) to edit and must keep ticket identification pictures.
  • Editors can edit the images to their style and use their own software but should at a minimum perform/check the following.
    • Crop image 5x7 dimension
    • Adjust color balance
    • Adjust brightness
    • Spot removal as needed
    • Once the editor has completed their final edits for each guest session they should export the ticket identification & final images to their own computer in JPG form.  Filenames must follow the below format.
      • Ticket Identification Image: guestticketnumber_ticket
      • Print Images: guestticketnumber_print-1, guestticketnumber_print-2, etc…
      • Editors will then copy the ticket identification and print files to the shared source.
      • Before leaving the editors should remove all files that they edited from the day.

Post Editing/Printing

  • Mike Carrizales will monitor the shared data source and upload files to samsclub.com every 15-30 minutes.
  • Once the order is submitted, the print files should be moved to an uploaded folder.
  • Once the runner returns with the prints they should be should brought back to editing/Mike Carrizales so that the filed can be moved from the uploaded folder to the finalized folder before the images are handed to the guest.
  • At the end of the day Mike will provide a copy of all the images to Chelsea & Katherine.

Today's meeting has been cancelled.  Nobody wants to be driving in this snow if they don't have to and we don't want anyone to risk it.
We will just plan on seeing everyone in one week on event day.  When you arrive, first thing - please find me to check in (I will have a name tag on for those that have never met me).  I will have name tags for everyone and the volunteer form for everyone to fill out.

Don't forget to bring a canned food/non-parishable donation to the event for Metro Care Ring.

Also if you are bringing equipment of any kind, cameras, SD cards, laptop, backdrops etc etc etc please label it with your name.  I want to make sure all the equipment goes home with the right people and nobody loses anything.
For those of you that plan to help set up that morning- please be at the church by 8:30am.  We also need some people to stay until about 6pm to break down/clean up.
Please contact me with any questions you may have between now and then.  The best way to reach me is email (chelseamm@gmail.com) or if it's urgent by text message (303-506-3326).
Specific questions can be directed to the appropriate station leaders as well:
Erica Winslow is our Guest Guide lead.
Laney Kolker is our Hair and Make up station lead.
Tim Norman is our Photography station lead.
Mike Carrizales is our Editing station lead.
Charles Dirks is our Printing/print runners lead.
Prepare for a great day on Saturday!  We have an awesome group of people all giving their time, equipment, expertise and hearts on December 10th.  I couldn't be more appreciative of each and every volunteer!  Thank you in advance for being apart of 2011 Denver Help-Portrait! I'm really looking forward to it.

Hi Chelsea, I won't be able to make the 11/29 online meeting. I just wanted to let you know I did try and contact the Denver Police to see if they had any suggestions for other groups that might benefit but I was never able to get an answer from them. Are we deciding on any specific colored shirt or perhaps a Santa hat to easily mark out the volunteers? Is food/water settled for volunteers? And have we made it obvious all volunteers should bring a canned good or more for the food pantry? Oh, and instead of meeting on Dec. 3 to sign the volunteer forms is it possible for us to print them out ourselves and fax/email them to you? I'm asking for the time away from work to be able to do it but I haven't gotten a response from the person who schedules my work hours.
