Information

The Ann Arbor Area Help-Portrait event is coordinated with Faith in Action out of Chelsea, MI, because this organization assists most of Washtenaw County. If you are interested in joining our group, please contact Jill Love at info@jlovephotography.com to find out what volunteer openings are available.

 If you are thinking about starting up a group, we'd love to hear from you and will help you in any way we can.

Please note that within a month of the event, we usually have all of our volunteer positions filled. But we'd love to hear from you anyway just in case!

If you've never participated in this event, please consider doing so. It's an experience you'll never forget! :)

Our group is not active on this site for the most part, as we use Yahoo Groups as our means of communicating with each other.

2011 is a wrap. We photographed approximately 135 people and had a fabulous time doing so. It was a successful, fun event thanks to our outstanding Volunteers and Faith in Action. See you all next year!

Our last planning meeting will take place Monday, December 5, at 6:30 at Carlisle Grille on Jackson Rd., in Ann Arbor. Everything will come into place at this meeting so it is a 'must' to be there!! I believe we have all of our volunteers with the exception of a few hairdressers and makeup people. Yea! Thanks to all!! It's going to be a great event!!

November 14 meeting cancelled. Our final meeting will be Monday, December 5 at Carlyle Grille on Jackson Rd., in Ann Arbor. Please plan to be there by 6:30 p.m. In order to volunteer for the event, it is imperative that you attend this meeting. Thank you!

Please let us know if you know of makeup or hair volunteers for the December 10 event. The hair people will not be blowing dry or cutting. Just a nice finished do of some kind.

We will post the minutes from our meetings here so others can see what we accomplished as well.

FYI, although you need a yahoo ID to sign up you can have it send your notification emails to an email account that you use regularly.  That way you don't have another account to check.  If you are like me, I have way too many email accounts.

Notes on AA-Help Portrait meeting 1/10/11

Goals for next time:

Print images onsite
Where can we get printers?
University Office Equipment loan?
Volunteers?
Epson?

Fundraiser for ink and paper?
How do other sites manage this issue?

Frames
How to get frames?
Volunteers each bring 10ish
Fundraising ahead of time
FIA can put as a “want” on their want list
Purchase inexpensive acrylic frames and share cost

Volunteers
1 or 2 more hairdressers and Makeup artists
Less general volunteers
Volunteers should be instructed NOT to bring along more help

CDs of all images
Will try and streamline this process

There should be an "End of Day" process for gathering the files and
archiving them.

There should be a process for re-generating a CD if necessary.
For example, if the CD is blank, has read error etc.


Lightroom volunteers attend a training session before event:

- Lightroom laptops should also be setup in advance as well. Perhaps during the
training session.

- There should be end-to-end testing of the photo capture, print, and the CD
process

More clients:
Send invites to other local centers like FIA in August but also send same centers a link to our video from this year as soon as it’s publicly available

FIA will include an announcement for upcoming event with the 150 school backpacks they send out in mid-August

More centrally located meeting place:
Carlyle’s meeting room is closer to Ann Arbor and the highways for those coming from work places east of Ann Arbor. Free meeting room and offers food since many are coming straight from work.

Better way of communicating:
PROBLEM: Help portrait site while useful, only notifies users of a post and not what the post is. Too cumbersome and not all joined.

POSSIBLE SOLUTIONS: All join a Yahoo Groups email list or all join a Facebook Page

Thank you/acknowledgments:
Need to have thank you cards at event to be signed by all and given to the extra volunteers such as the FIA people, hairdressers, makeup artists, etc at the end of the event.

*** Still need to do that from this year!!

Senior Portraits:

It was suggested that it would be great if we could offer our services for senior portraits. However, the Help Portrait event is too late to do this. And the possible technical issues that surround some yearbook submissions would be a time issue at such an event. And Chelsea’s requirements are that the photos are taken informally outside.

Several volunteers present, Julia, Rosie, Irwin, Fritz? said that they would be happy to offer their services in the fall for families in need leaving it to Nancy to determine the need and then make contact with us. Need to re-visit this when the time gets closer and make sure that Nancy has a list of photographers willing to help out.
