I've seen so many great ideas in several different places - how about using this thread for folks to list some of the 'extra' things they are doing and the volunteers they've recruited.  I'll start (and this isn't original - I'm using great ideas I've seen from others!!)

1.  Photographers - pros, hobbyists, students, photo clubs, art galleries
2.  Hair stylists (local beauty college, local stylists)
3.  Make-up artists (same as #2)
4.  Event coordinators - someone to pull all the other things together!
5.  Printers or people to handle printing/CD burning/emailing .jpgs, etc
6.  Music - someone to set-up and keep music going throughout the day
7.  FOOD!  For volunteers AND participants :)
8.  Santa!
9.  Teens - plan activities, entertain young children while waiting or while others in their families are photographed, etc
10.  Florist - someone to spruce up the locale, whether making it holiday-ish or just generally lovely
11.  Welcome/greeters
12.  Runners - for all the things that get forgotten
13.  Marketing - Need flyers?  Recruiting sponsors?    Writing thank you's after the event? Need signs so people know where to find you?
14.  Admin - need appointments?  Need copies made?  What else?

Great list, Sabrina!!! Thank you. Love a couple of your ideas I did not think of (music and flowers). I will add:

15. Electrical, technical person to handle extension cords, lighting needs, technical issues with lighting equipment and computers.
16. Dressers to help coordinate clothing (we are working from a shelter that has free clothing for the people to choose from).
17. People to donate prints if there are no on-site prints.
18. People to donate frames.
All great items and I am sure there are more to come. This will be my first year to join in. I think with so many DSLR's having video, if the group has a spare person to shot some clips, it would be a great thing to capture. Video link could be put on HP here, and even used to recruit help in the future. Just my 2 cents.
Oh yes, I forgot this one and it is indeed on our list!

19. Videographer

Hey Jason,

I have a video camera that shoots in an interval mode... I can capture 2 seconds of video at up to five minute intervals... I could turn it on and it capture the whole day on a single tape completely unattended... I can add a bit of narration later...

My calculations tell me that if I capture 2 seconds every 30 seconds for 9 hours, I'll end up with 36 minutes of continuous video for editing. . . that could be fun...

And quite the tool for evaluating the efficiency or our setup over the course of the day...

We'll see. . .

All of you planning to shoot video, you should be aware that if you are working with a shelter or any other state run facility you can't film certain people and you shouldn't film minors as a part of your video as it violates HIPPA laws.

 

We (our local group here) don't fit that category... thanks for keeping us video folk legal.

this is not an easy website to guide yourself as to where the heck to start.... can someone  be so kind as to lead me in the right direction> I live in San Luis Obispo and want to give back. Can someone help me please? Im not getting help from anyone. Thank you.

Let me try to help:

1 - collect a group of photographers who will donate their time, effort, equipment, and skills to produce photos for free (shooting, printing, and mailing);

2 - chat with them about whom the group might want to target (yes, needy people - but homeless; wounded warriors; orphans; there are many in any community);

3 - select a venue that is suitable and convenient for both the photographers and their equipment; and your target audience - they won't come if they need to travel very far... a nearby public library with a large meeting room is always a good choice... they normally attract the target audience members year around;

4 - advertise as you can... plan for a small beginning; take many notes to ease the burden for the next attempt as well as to spread your reach and expand the target audience.

5- search here for tips and hints - no need to reinvent the wheel, as they say, so take the essence of the effort and adapt it to your local circumstances...

I've attached a pdf of a summary file of our plan for 10 DEC 2011... nothing much at this time, to be sure.

It may or may not be of any help to you.

My encouragement for you would be not to worry so much about it getting done properly; just concentrate on it getting done ... invite the photographers and the people you want to and see what happens ... I'm certain it will be an amazing experience and just sooo much fun!

Kim - does your local group have a listing on the "groups" page? What about a Facebook page for the group? Some groups haven't yet started to mobilize for this year - send a message to those who were involved before and get the ball rolling. (That's what I did :)
